By now you have hopefully seen the announcement that our 2026 mini-con had to be cancelled (all registered attendees received an email at the time the decision was made). But in case you missed it, please do visit the link above for details & refund info. We did not make the decision lightly, and all our hardworking volunteers are as disappointed as anyone. We appreciate your understanding and support as we strive to continue putting on fun events for our community. Below you will find answers to a few questions we have received.
Q: If you knew there was a chance the venue would be closed for renovations, why not pick a different one?
A: As an atypical con, Woods Flock has particular needs for our event that we have to take into consideration – needs which are largely met by Newton Ford Group Lodge at Fall Creek Falls. We reserve it more than a year in advance and were not informed of the renovations, though since it is an older venue, they do some renovations periodically and must account for them when booking. However, the park let us know that it was an accident which caused the inability to reopen in time, and accidents are not something anyone can predict. For the future, we are exploring other potential options that are comparable but newer.
Q: What about refunds?
A: If you filled out the form linked on the cancellation announcement, you should have received it already. If you haven’t done that and would like a refund, please do so! Once we approve it on our end, it takes a couple of business days to go through the card processor.
Q: I made reservations for the hotel, a cabin, or a campsite at Fall Creek Falls, can I still get a refund?
A: You will need to call the park directly, however if you have issues getting a refund mention this is a result of the Newton Ford Closure and they should accommodate. If not, reach out to us and we will contact our facilitator on your behalf.
Q: What is happening for 2027?
A: Our theme, Camp Cosmic, will move to next year and our dates are currently April 23-25 (with early check-ins Thursday and check-outs Monday as usual). However, if we do proceed with a new venue the dates may have to change. This would be decided well in advance.
Q: What about the t-shirts?
A: At this time we are leaving preorders for the beautiful Camp Cosmic t-shirts designed by ItsMaeMagic untouched. We know many people are interested in it, even if they aren’t sure yet that they can attend next year. However, if you would like a refund for that you can respond to this email and we’ll take care of it.
Q: How can I help?
A: Thank you for asking! Woods Flock is run by volunteers, so we are always happy to discuss ways folks can get involved (see our volunteer page for some more info, and definitely reach out to us by telegram, email, or in person) – but we are also helped simply by folks showing up! Our goal is to provide fun, inclusive, and safe events for our community, so that community presence is vital to us. RSVPing/ registering in advance, spreading the word, coming out and bringing others with you is greatly appreciated.
